Terms of Service

LeadPilot connects an AI assistant to your own WhatsApp number so it can answer customers, qualify leads and take orders or bookings for you. These terms set out what we provide, what you are responsible for, and what happens if either side stops. The parts worth reading closely are connecting a WhatsApp number and the AI agent and what it says.
1.This agreement
These terms are an agreement between you and LeadPilot of Office 14, 1564 Stratford Road, Hall Green, Birmingham B28 9HA, United Kingdom (“LeadPilot”, “we”, “us”), the operator of the LeadPilot AI service. By creating an account, ticking the box that links to this page, or using the service, you accept them.
If you accept on behalf of a company, you confirm you are allowed to bind it, and “you” means that company. You must be old enough to enter a contract where you live.
Our Privacy Policy forms part of this agreement and explains what we do with data.
2.What LeadPilot does
LeadPilot links a WhatsApp number you control to an AI assistant you configure. Depending on your plan and how you set it up, the service can:
- Reply to messages sent to your number, in the tone and with the product knowledge you give it.
- Record leads, conversations, orders and bookings in a dashboard.
- Take orders against a catalog you maintain, and hold stock levels against it.
- Send broadcasts to contacts you have collected.
- Expose the same data through an API and webhooks.
What your plan includes — how many organizations, numbers, agents, team members and AI messages — is shown on the Billing screen inside the product and may change as we add or retire features. We will not reduce what an active paid plan includes without telling you first.
3.Your account
- Keep your sign-in details private. Anything done with your credentials is treated as done by you.
- Everyone you invite into your workspace acts under your account, and you are responsible for what they do with it.
- Give us accurate details, and keep your email address current — it is how we reach you about your subscription and your numbers.
- Tell us promptly at [email protected] if you think someone else has access to your account.
4.Free trial
New accounts get one free trial. Its length is shown on screen when the trial starts and on the Billing screen while it runs; it is currently set per account and no card is required. Every feature of the trial plan is switched on for the whole trial.
A trial is once per account. When it ends, your workspace pauses rather than disappearing — your organizations, numbers, agents, conversations, orders and bookings stay where they are, and choosing a plan brings them back. We may end or shorten a trial that is being used to evade our limits or the acceptable-use rules below.
5.Plans, billing and cancellation
- Prices are shown in US dollars on the Billing screen and exclude any taxes you may owe locally.
- Plans are arranged with our team: contact us from the Billing screen, and we switch the plan on once it is paid. The app takes no card payments.
- A plan runs for the period agreed with us and does not renew by itself — we extend it when the next period is paid.
- To stop, let the period run out or tell us. A period already paid is not refunded, and your workspace keeps running until it ends.
- An upgrade takes effect when our team switches it on; the wider limits apply from that moment.
- We may change prices for future periods. Existing paid periods are never repriced, and we will tell you before a change affects a renewal.
If a payment fails or a period lapses, the workspace pauses in the same way a finished trial does. Nothing is deleted because of an unpaid invoice.
6.Connecting a WhatsApp number
LeadPilot is not affiliated with WhatsApp or Meta
WhatsApp is a product of Meta Platforms, Inc. We are an independent service. Pairing a number links LeadPilot as a device on your own WhatsApp account, in the same way WhatsApp Web does — we do not resell WhatsApp, and we cannot act on Meta's behalf or overrule anything it decides about your number.
By connecting a number you accept the following, which you also confirm when pairing:
- Your phone remains the owner of the account and can unlink LeadPilot at any time from WhatsApp's own Linked devices screen.
- You are responsible for the number you connect and for using it in line with WhatsApp's terms and applicable messaging law.
- WhatsApp may restrict, suspend or block any number under its own policies and automated systems. We cannot guarantee yours will not be, and a ban is not a failure of our service or grounds for a refund.
- We recommend a dedicated, active, properly warmed-up business number rather than a personal one.
- The link depends on that phone staying online. If it is offline too long, WhatsApp drops the session and you will need to scan again.
7.The AI agent and what it says
The assistant writes its replies with a large language model, guided by the profile, catalog and instructions you provide. It speaks to your customers as your business, and in law what it says is said by you.
Check what it can commit you to
Language models can be wrong, and can be confidently wrong. Prices, stock, delivery times, availability and anything you would consider a promise should be reviewed before you act on them. The dashboard shows every order and booking the agent records so you can check them, and you can take over any conversation yourself at any point.
- You are responsible for the instructions, catalog and knowledge you give the agent, and for the replies it sends on your behalf.
- We do not warrant that any reply is accurate, complete or fit for a particular purpose.
- Do not use the agent where a wrong answer could cause real harm — medical, legal, financial or safety advice.
- Automated replies are subject to the same messaging rules as anything else you send; consent to be messaged is yours to obtain.
8.Your data and your customers' data
Everything you put into LeadPilot, and everything your customers send to your number, stays yours. We do not sell it, and we do not use your customers' messages to train our own models.
For the personal data of your customers you are the controller and we act as your processor: we handle it to run the service for you and on your instructions. How we do that, who else is involved and how long anything is kept is set out in the Privacy Policy.
You grant us the limited permission needed to host, process and display that data in order to provide the service — nothing more. You confirm you have the right to give us the data you upload and that messaging the contacts you load is lawful where they are.
9.Acceptable use
You may not use LeadPilot to:
- Send unsolicited bulk messages, or message people who have not agreed to hear from you.
- Impersonate another business or person, or misrepresent who is messaging.
- Sell or promote anything illegal where you or your customer is, or anything WhatsApp's own commerce policies prohibit.
- Run scams, phishing, or any attempt to obtain money or credentials by deception.
- Harass, threaten, or send hateful or sexually exploitative content.
- Break, overload or work around the service's limits, or attempt to reach data belonging to another account.
- Resell the service, or expose it to your own customers as if it were yours, without a written agreement with us.
These rules apply to your team and to anyone using your API keys. We may investigate suspected breaches and act under the next section.
10.Availability and changes
We work to keep LeadPilot available, but we do not promise uninterrupted service. Parts of it depend on things outside our control — WhatsApp itself, model providers, payment processors and networks. We may take the service down for maintenance, and will give notice inside the product where we reasonably can.
We may add, change or withdraw features. If we withdraw something material that your paid plan included, you may cancel and we will refund the unused part of the period you paid for.
11.Suspension and termination
You can stop at any time: cancel your plan, or delete your organizations and account.
We may suspend or close an account that:
- breaks the acceptable-use rules above,
- does not pay for a period it used,
- puts the service, other customers, or us at legal or security risk, or
- we are required by law or by a provider we depend on to stop serving.
Where a suspension is our decision rather than a billing lapse, we will say so plainly in the product and, where we can, why. On termination your right to use the service ends. You can export your data before you leave; after an account is deleted, data is removed as described in the Privacy Policy and cannot be recovered.
12.Warranties and liability
The service is provided as it is. To the extent the law allows, we exclude implied warranties of merchantability, fitness for a particular purpose and non-infringement.
To the extent the law allows, we are not liable for:
- lost profits, lost sales, lost or corrupted data, or business interruption;
- anything WhatsApp or Meta does to your number or account;
- what the AI assistant says, or what you or your customers do in reliance on it;
- acts of the people you invite into your workspace.
Where liability cannot be excluded, our total liability for any claim is limited to what you paid us in the twelve months before the claim arose. Nothing here limits liability that cannot be limited by law, including for fraud or for death or personal injury caused by negligence.
You agree to cover us against claims brought by third parties — including your customers — that arise from your use of the service, the messages sent from your number, or your breach of these terms.
13.Changes to these terms
We may update these terms. The date at the top changes with them, and we will tell you in the product or by email before a material change takes effect. Continuing to use LeadPilot after that means you accept the new version; if you do not, you may cancel and we will refund the unused part of your current period.
14.Governing law
These terms are governed by the laws of England and Wales, and the courts of Birmingham, England have exclusive jurisdiction, without affecting any right you have to bring a claim where you live.
